**📍 Location: Tirana, Albania (On-site, office-based)**

**🕒 Schedule: Full-time | Monday – Friday, 15.00-23.00**

**Role Overview**

We are seeking an experienced
**Recruiting Operations & Systems Manager**
to own the operational backbone of our business. This is a long-term outsourced role ideal for someone who thrives behind the scenes, enjoys building scalable systems, and takes pride in creating frictionless workflows for a recruiting team. This role ensures that our platform and related tools run smoothly, data stays clean, processes remain efficient, and our recruiters can stay focused on what matters most: revenue-generating activity.

**Key Responsibilities**

**Platform Ownership & Optimization**

- Serve as the primary administrator for Recruiterflow
- Configure and maintain pipelines, stages, automations, triggers, and workflows
- Enforce consistent usage and best practices across the recruiting team
- Troubleshoot issues and resolve operational bottlenecks
- Continuously optimize system performance as the firm scales

**Recruiting Operations & Process Management**

- Monitor pipeline health, data integrity, and recruiter activity
- Identify inefficiencies and proactively implement improvements
- Provide thoughtful operational recommendations, not just execute instructions

**Data, Reporting & Quality Control**

- Maintain accurate candidate, client, and job records
- Build and manage dashboards and reports for leadership
- Track KPIs including activity, pipeline velocity, submissions, interviews, and placements
- Conduct quality audits and flag inconsistencies

**Integrations & Tools**

- Manage integrations between Recruiterflow and external tools (email, calendars, sourcing tools, job boards, etc.)
- Support the evaluation and implementation of new tools and automations
- Collaborate with Recruiterflow support and external vendors as needed
- Recommend and implement emerging AI tools to enhance efficiency

**Recruiter Enablement & Support**

- Onboard new recruiters into Recruiterflow and firm workflows
- Provide ongoing training and support to drive adoption and compliance
- Serve as the primary point of contact for operational questions

**Required Qualifications**

- Hands-on Recruiterflow administration experience (strongly preferred)
- Experience supporting a permanent-placement recruiting firm
- Background in recruiting operations, staffing operations, or ATS administration
- Exceptional process orientation and attention to detail
- Strong written communication and documentation skills
- Ability to work independently and take full ownership of systems
- Comfortable working remotely and within outsourced arrangements

**Preferred Qualifications**

- Understanding of key recruiting KPIs and pipeline metrics
- Experience building SOPs and scalable recruiting processes
- Familiarity with automation tools (Zapier, Make, etc.)
