**Operations Coordinator – Influencer Marketing**

They develop and execute influencer strategies that make a real impact, while the operations team ensures everything runs smoothly behind the scenes.

We’re seeking an Operations Coordinator passionate about influencer marketing to join our team. This role supports the Senior Resource & Operations Manager across all aspects of agency operations. It's a diverse, hands-on position that involves system and tool compliance audits, shared drive management, data and report cleanup, and creating training materials distributed across the agency.

You will be a strong communicator, capable of simplifying complex topics, identifying issues and solutions, and clearly conveying them to stakeholders at all levels. As a natural project manager and coordinator, you'll have a solid understanding of cross-functional workflows and the ability to manage multiple priorities in a fast-paced, growing agency.

**Key Responsibilities:**

**Systems Champion & Process Auditing**

- Regularly audit agency tools, platforms, and workflows (including Traackr, HubSpot, Google Workspace, shared drives, and project management systems) to ensure compliance with standards and identify gaps or risks, providing clear and actionable recommendations.
- Maintain audit logs and compliance trackers, and produce regular reports for the Senior Operations & Resource Manager.
- Support access control reviews to ensure permissions across systems are accurate, secure, and consistent with agency policies.
- Act as the primary contact for agency tools and databases such as Traackr and operational systems. Assist team members with questions and escalate issues to support desks when needed.

**Process Management & Documentation**

- Collaborate with the Senior Operations & Resource Manager to review, update, and maintain SOPs and process documentation, ensuring all materials are current, clearly written, and accessible through the agency's knowledge management system.
- Proactively identify outdated processes and recommend improvements.
- Help implement new processes by translating strategic decisions into easy-to-follow guides and practical workflows.

**Training Coordination**

- Oversee the rollout of process and system training across the agency by working with divisional leads to schedule, track, and follow up on completion.
- Coordinate training sessions and initiatives.
- Ensure training materials and reference guides are clear and easily accessible, in collaboration with the Senior Operations & Resource Manager.

**Stakeholder Communication & Change Management**

- Keep stakeholders informed about process changes, system updates, and operational developments through clear, timely communication, including announcements and training reminders.
- Support the Senior Operations & Resource Manager in preparing materials for leadership reports and cross-departmental meetings. Build strong relationships across departments to understand how operational changes are received in practice.

**Financial & Commercial Operations Support**

- Assist with project closure processes, including support for P&L reconciliation.
- Adoption of operations tools & timesheet compliance
- Lead the agency-wide rollout of a new operations platform, overseeing onboarding, training, change communication, and serving as the daily contact for staff questions during the transition.
- Monitor timesheet compliance within the platform, keep accurate records, follow up on outstanding submissions, and support maintaining the tool's configuration and usage standards after launch to ensure the agency maximizes the platform’s value.

**Required Skills & Experience**

- Previous experience in operations or project coordination roles.
- Detail-oriented with a strategic outlook, able to maintain rigor at the task level while considering the bigger picture.
- Proven experience in documenting, auditing, and improving operational processes, emphasizing structure and consistency.
- Strong project management and coordination skills, capable of managing multiple workstreams, meeting deadlines, and keeping others on track.
- Excellent written and verbal communication skills, confident in engaging stakeholders at all levels.
- Proficient with project management platforms and quick to learn new systems.
- Proactive and diligent, someone who identifies what needs to be done and follows through independently.
- An understanding of the cross-functional nature of operations in a fast-growing company, with a collaborative working style.
