The
**Workforce Planning and Scheduling Specialist**
is responsible for forecasting staffing needs and creating efficient schedules to ensure optimal workforce coverage. This role requires close collaboration with the operations team to ensure that employee scheduling aligns with business demands while maintaining service levels.
**Responsibilities**
- **Analyze Workforce Demand:**
Use historical data, business trends, and forecasts to determine future staffing (FTE Interpreter or 1099) requirements.
- **Create Efficient Schedules:**
Develop and optimize employee work schedules to meet business needs while balancing workload and maintaining service levels.
- **Monitor and Adjust Staffing Plans:**
Continuously assess staffing needs and make real-time adjustments to schedules based on volume fluctuations or unexpected changes.
- **Collaborate with Operations:**
Work with department managers to align schedules with operational goals, employee availability, and leave requests.
- **Ensure Schedule Adherence:**
Monitor and report on workforce schedule adherence to ensure that interpreters and staff follow assigned shifts, breaks, and tasks.
- **Capacity Planning:**
Ensure the right amount of workforce is available to handle varying workloads, such as peak and off-peak times.
- **Utilize Workforce Management Tools:**
Leverage workforce management software to track data, improve scheduling accuracy, and analyze workforce trends.
- **Generate Reports:**
Provide detailed reports on workforce performance, scheduling effectiveness, and adherence to planned hours.
- **Manage Compliance:**
Ensure all scheduling complies with labor laws, organizational policies, and any collective bargaining agreements.
- **Continuous Process Improvement:**
Regularly review and refine workforce planning and scheduling processes to enhance accuracy, reduce costs, and improve employee satisfaction.
**Qualifications:**
- Bachelor’s degree in Business, Operations Management, Analytics, Finance, or a related field or equivalent workforce planning experience
- 1–3 years of experience in workforce planning, scheduling, capacity planning, or operations support
- Strong understanding of workforce planning fundamentals, including:
- Staffing forecasts
- Schedule creation and optimization
- Coverage planning
- Service level alignment
- Ability to analyze historical data and trends to predict staffing needs
- Strong analytical and problem-solving skills
- Proficiency in Excel or Google Sheets (formulas, pivot tables, scenario analysis)
- Strong organizational skills and attention to detail
- Ability to collaborate effectively with operations, leadership, and cross-functional teams
- Clear written and verbal communication skills
