About the role
Are you the person who loves a clear plan, keeps every deadline in sight, and quietly makes sure the whole team knows what’s next?
We are looking for an Operations Specialist to plan, track and deliver projects for a U.S.-based business.
You’ll turn goals into clear plans, keep tasks and people on schedule, and make sure projects land on time and on budget. It’s a fully remote, independent contractor role, with working hours that overlap with US business hours.
What you’ll do?
🗂️ Plan and organize
- Turn goals and requests into clear project plans with tasks, owners and deadlines
- Set priorities and keep timelines realistic
- Set up and maintain projects in tools such as Asana, ClickUp, Monday or Trello
🚦 Keep projects on track
- Follow up with team members, vendors and clients so work moves forward
- Run check-ins and keep clear notes on decisions and next steps
- Spot risks, delays and blockers early and solve them or raise them in time
- Track budgets, hours and deliverables against the plan
📊 Report and improve
- Send weekly status updates to the business owner and stakeholders
- Keep project documents, files and records organized
- Write and improve SOPs and checklists so projects run more smoothly
- Suggest better ways of working when you see them
What you bring?
- 2+ years in project management, project coordination or operations
- Experience running several projects at once
- Excellent spoken and written English
- Strong organization and follow-through
- Confidence with project management tools, Google Workspace and spreadsheets
- Clear communication with both teams and clients
- The ability to work independently with little supervision
Nice to have
- Experience supporting a US-based business
- Experience in real estate, property management, construction, marketing agencies or e-commerce
- A project management certification (CAPM, PMP, Scrum or similar)
Work arrangement
