**Job description**

We are looking for a highly organized and proactive Administrative Assistant to support our team in delivering exceptional support. As the first point of contact for both internal and external stakeholders, the ideal candidate will be detail-oriented, resourceful, and skilled in multitasking. This role requires a strong communicator who can manage administrative tasks with efficiency and precision, contributing directly to the overall success of our team and client service efforts.

**Key responsibilities**

- Provide comprehensive administrative and operational support to management and internal teams.
- Manage front desk activities, including welcoming visitors, handling incoming calls, and ensuring a professional office environment.
- Coordinate meetings and events, including scheduling, conference room management, visitor reception, invitations, and meeting logistics.
- Manage internal and external communications, official correspondence, and document administration while maintaining confidentiality and accurate records.
- Organize and maintain both digital and physical filing systems to ensure efficient document management and retrieval.
- Assist with the preparation, formatting, and distribution of reports, presentations, contracts, and other business documents.
- Coordinate incoming and outgoing mail, courier services, and other office-related communications.
- Manage office supplies and inventory, ensuring the timely procurement of materials and effective coordination with vendors and service providers.
- Support office facilities and maintenance activities to ensure a safe, organized, and productive workplace.
- Coordinate business travel arrangements, including flights, accommodation, transportation, and related logistics for employees and visitors.
- Provide day-to-day administrative support across departments and contribute to the smooth running of office operations.

**What you bring to the role**

- Bachelor’s degree in Social Sciences, Humanities, Foreign Languages, or a related field.
- Previous experience in administrative, office support, or similar role preferred.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Excellent organizational and time-management skills, with the ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
- Strong written and verbal communication skills, with a professional and client-focused approach; good command of the English language.
- High level of attention to detail and commitment to accuracy and quality.
- Ability to handle sensitive information with discretion and maintain confidentiality at all times.
- Strong interpersonal skills and the ability to work effectively with colleagues, clients, vendors, and other stakeholders.
- Ability to maintain firm independence and comply with company policies, ethical standards, and professional requirements.
